Arcentra Systems LLC respects your privacy and processes personal information responsibly. This Privacy Policy explains what information we collect through arcentra.systems, why we use it, how long we keep it, and what rights you may exercise.

1. Who We Are

Arcentra Systems LLC operates this website and acts as the controller of personal information collected through it.

2. Scope of This Policy

This policy applies when you visit our website, submit a contact form, communicate with us about a project or service, or interact with website features and analytics.

3. Information We Collect

Information you provide

When you contact us, we may collect your name, phone number, message, confirmation that you accepted this policy, the page from which you submitted the request, and the date and time of the request.

Technical information

Our systems may record your IP address, browser and device type, operating system, referring page, pages viewed, and security or diagnostic events. Accordingly, we use this information to operate, protect, and troubleshoot the website.

Analytics information

We use Google Analytics 4 to understand how visitors use the website. For example, analytics data may include a cookie-based client identifier, session and interaction data, pages viewed, events, approximate geographic area, device information, and referral source. However, we do not intentionally send names, phone numbers, email addresses, or contact-form messages to Google Analytics.

4. Why We Use Personal Information

We process personal information to:

  • respond to enquiries and understand project requirements;
  • provide information about our services and take steps before entering into a contract;
  • maintain business and communication records;
  • operate, secure, test, and improve the website;
  • measure website performance and content effectiveness;
  • detect abuse, fraud, and security threats;

  • establish, exercise, or defend legal claims.

Arcentra Systems LLC does not sell personal information.

5. Legal Grounds for Processing

Specifically, depending on the context and applicable law, we rely on one or more of the following grounds: your consent, steps taken at your request before a contract, performance of a contract, our legitimate interests in operating and securing the business and website, compliance with a legal obligation, or protection of legal rights.

We process personal information under the laws of the Republic of Armenia. The EU General Data Protection Regulation may also apply when its territorial scope covers a particular interaction. Where processing relies on consent, you may withdraw that consent at any time. Withdrawal does not affect processing already completed lawfully.

6. Cookies and Google Analytics

Google Analytics may set cookies such as _ga and _ga_<container-id> to distinguish visitors and maintain session information. Google states that these cookies may remain for up to two years, subject to our analytics settings and your browser controls.

We use Google Consent Mode v2 to apply your privacy choice. Until you select Accept analytics, analytics storage remains denied and Google Analytics does not write or read analytics cookies. The Google tag may send limited cookieless signals without analytics cookies or persistent visitor identifiers. If you accept analytics, the consent status changes to granted and Google Analytics may set or read analytics cookies. If you reject analytics, the denied status remains in effect. You can change your choice at any time through the Privacy settings button on the website. You can also block or delete cookies through your browser settings or use the Google Analytics Opt-out Browser Add-on.

7. How We Share Information

We share personal information only when necessary and only with appropriate recipients, including:

  • hosting, email, and communication service providers;
  • Google as our analytics provider;
  • website security, maintenance, and technical support providers;
  • professional advisers such as lawyers and accountants;
  • public authorities when disclosure is legally required; and
  • a successor organisation involved in a merger, acquisition, financing, or sale of relevant business assets.

Therefore, service providers may process information only for the services they provide to us or as otherwise permitted by law.

8. International Data Transfers

Some service providers may process information outside Armenia. When applicable law requires safeguards for an international transfer, we use appropriate contractual, organisational, or legal measures designed to protect the information.

9. How Long We Keep Information

Contact enquiries and related correspondence are normally retained for up to 24 months after the last meaningful interaction. However, customer, contractual, tax, accounting, or legal records may be kept for longer when the law or an active business relationship requires it.

Hosting and security logs are retained according to operational and security needs. Google Analytics data is retained according to the settings of our Analytics property. We may keep aggregated or anonymised information that no longer identifies an individual.

We may extend a retention period when necessary to resolve a dispute, comply with a legal requirement, or investigate a security incident. When information is no longer required, we delete or anonymise it.

10. Information Security

We use reasonable technical and organisational safeguards, including encrypted website connections, access controls, software maintenance, backups, and security monitoring. No online service can guarantee absolute security. Please do not send confidential credentials, special-category data, or other sensitive information through the general contact form.

11. Your Rights

Subject to applicable law, you may ask us to:

  • confirm whether we process your personal information;
  • provide access to it;
  • correct inaccurate or incomplete information;
  • delete or block information in appropriate circumstances;
  • withdraw consent;
  • object to or restrict certain processing;
  • provide portable data when the law grants that right; or
  • explain how to lodge a complaint with the relevant authority.

12. Children’s Privacy

Our website and services are intended for business users and are not directed to children. We do not knowingly collect personal information from children through this website. If you believe a child has provided information to us, contact us so we can review and delete it where appropriate.

13. Third-Party Links

The website may link to third-party websites. Their privacy practices are governed by their own policies. Arcentra Systems LLC is not responsible for the content or privacy practices of third-party websites.

14. Changes to This Policy

We may update this Privacy Policy when our services, website technologies, or legal obligations change. We will publish the revised version on this page and change the effective date. Material changes may also be communicated through another appropriate channel.
